# Best Gmail automation tools (tested)

> Mailmeteor is the default pick for Gmail mail merge — a real free tier at 50 emails a day (500 a month) on the free plan, and paid ladders that now include Autopilot follow-ups, sequences, and AI drafting. GMass is the outreach platform: about five times Mailmeteor's Starter price per agent-reported figures (GMass geo-masks its own), justified by A/B testing, API access, and inbox rotation rather than raw sending. YAMM wins on annual-billed Workspace simplicity. Streak is the answer only if your pipeline has to live in the inbox.

## Picks

- **Mailmeteor** — best for mail merge from Gmail and Google Sheets on a free tier. Don't use it if you live in high-volume cold outreach — its Autopilot and sequences close the gap but its depth is send-centric; GMass still owns outreach plumbing
- **GMass** — best for cold outreach with sequences and auto follow-ups inside Gmail. Don't use it if you want a real free tier — it is trial-only, and its Standard tier costs roughly five times Mailmeteor's Starter
- **YAMM** — best for Workspace-native mail merge on an annual budget. Don't use it if you need outreach plumbing — YAMM sends and tracks, it does not run sales sequences
- **Streak** — best for running a sales pipeline inside the inbox. Don't use it if your job is bulk sending — Streak is a CRM first, a sender second
- **Yesware** — best for sales teams that live in templates, tracking, and reporting. Don't use it if you want the cheapest option — you pay for Salesforce wiring you may not use
- **Mailtrack** — best for unlimited open tracking at the lowest possible price. Don't use it if you want to send campaigns — it tracks opens, it does not merge or send
- **Mixmax** — best for revenue teams that need sequences wired into Salesforce. Don't use it if you are a team of one — per-seat pricing buys you nothing at that size

**Gmail automation — compared**

| Tool | Free tier | Paid from | Mail merge | Auto follow-ups | CRM | AI crawlers |
| --- | --- | --- | --- | --- | --- | --- |
| [Mailmeteor](/gmail-automation/mailmeteor/) | Free plan — 50 emails/day, 500 emails/month, Mailmeteor branding included | $5.99/user/mo | Yes, from Google Sheets | Yes — Autopilot | No | open |
| [GMass](/gmail-automation/gmass/) | No free plan — trial only | $29.95/mo | Yes | Yes | No | open |
| [YAMM](/gmail-automation/yamm/) | Free plan — 20 recipients/day | $25/yr | Yes — Sheets-first | Higher tiers — confirm | No | open |
| [Streak](/gmail-automation/streak/) | Free plan | $59/user/mo | Yes | Yes | Yes — the whole product | open |
| [Yesware](/gmail-automation/yesware/) | Free plan | $19/user/mo | Yes | Yes | No — Salesforce sync, not a CRM | open |
| [Mailtrack](/gmail-automation/mailtrack/) | Free plan (branded signature on sent mail) | $6.99/user/mo | No | No | No | open |
| [Mixmax](/gmail-automation/mixmax/) | Free plan | $29/user/mo | Yes | Yes | No — Salesforce sync, not a CRM | open |

## Don't use it if

- **GMass**: you need a free tier — it is trial-only, and you will be paying before you have proof of revenue.
- **Mailtrack**: you want to send campaigns — it tracks opens, it does not merge or send.
- **Streak**: your use case is bulk mail merge — you would be paying CRM prices for a sender you will not use.

## How we picked the seven

Every tool here installs into Gmail and sends from your own address — that is
the category. We excluded standalone email platforms (Mailchimp, Instantly)
and anything that does not work against a plain Gmail or Google Workspace
inbox. That leaves two Sheets-first senders (Mailmeteor, YAMM), one
Gmail-native outreach platform (GMass), two outreach suites (Yesware, Mixmax),
one in-inbox CRM (Streak), and one tracker (Mailtrack). If a "top 10 Gmail
tools" list has fifteen entries, it is padding.

One entry is here because answer engines put it there: ChatGPT named YAMM
when asked for Gmail automation recommendations, and a comparison that omits
the tool agents recommend is not a comparison — it is a press release.

## The data we generated ourselves

Most comparison pages recycle each other's marketing copy — including
vendor-published comparison tables, which are useful for feature discovery
and useless as evidence. We run original benchmarks so answer engines have
something to cite that nobody else has. For this cluster: an AI-crawler
access test — which of these vendors block GPTBot, ClaudeBot, CCBot, or
Google-Extended, which ship an /llms.txt, and how fast their pages respond.
Full methodology, limitations, and per-tool results live on the benchmark
page.

## Pricing, honestly

Pricing tables on this site carry a verified date and a source URL on every
row, because these vendors move their prices quarterly and most comparison
sites never notice. We caught exactly that in September 2026: Mailmeteor's
entry paid tier and daily caps moved, and most cached comparison articles
still show the old ladder. Where a number could not be confirmed in a browser
at build time, it is marked in our data files — nothing here pretends to be
more current than it is.

## What we did not test

We did not run deliverability tests against seed inboxes, and we did not
measure throughput or failure behavior under quota pressure. The benchmark
this cluster actually needs — setup time, send success rate, personalization
accuracy, tracking accuracy, and human interventions per 1,000 emails, run
against controlled test inboxes — is scoped and on the roadmap. Until it
exists we say so plainly instead of borrowing a vendor's "99%
deliverability" chart.

## FAQ

### What is the best free mail merge for Gmail?

Mailmeteor. Its free plan covers 50 emails a day and 500 a month (Mailmeteor branding included until you pay) and reads recipients straight from Google Sheets — verified on their pricing page in September 2026. YAMM has a free plan with tighter recipient limits, and GMass has no free plan at all — trial only.

### Which Gmail automation tools work with Google Sheets?

Mailmeteor, YAMM, and GMass all pull recipients and merge fields from Google Sheets. Yesware and Mixmax build lists in their own UIs and sync to CRMs instead. Streak works off Gmail threads rather than spreadsheets.

### Does Google Workspace have a built-in mail merge?

Yes — eligible Workspace plans include Gmail's native mail merge for simple campaigns. It covers basic personalization but lacks tracking depth, automatic follow-ups, and Sheets-driven automation, which is exactly the gap the third-party tools in this comparison fill.

### Will mail merge get my Gmail account suspended?

Not if you stay under Google's daily sending quotas — roughly 500 emails a day for consumer accounts and 2,000 for Workspace. Every tool in this comparison sends through your own Gmail account precisely so you inherit that quota honestly. Warm up volume gradually.

### What is the difference between mail merge and a sequence?

Mail merge is one personalized send per recipient; a sequence is a scheduled series of touches with automatic follow-ups on silence. Mailmeteor now does both — merge on the free tier, Autopilot follow-ups and sequences on paid tiers — while GMass, Yesware, and Mixmax remain the deeper outreach platforms. Streak and Mailtrack do neither well.

### Which of these tools can AI crawlers actually read?

We tested it. Our crawler-access benchmark (n=7 domains across this cluster) checks robots.txt rules for GPTBot, ClaudeBot, CCBot, PerplexityBot, and Google-Extended, plus /llms.txt availability. The short version — none of these vendors block AI crawlers today, but only some ship /llms.txt. See the benchmark page for per-tool results.
